Accept an invite

Activate your Winlium account from an invitation email, set up a new workspace from a workspace invitation, and learn how administrators send invites.

An invitation email is how you get into Winlium for the first time. There are two kinds.

Activate your account (user invite)

The email is called "You have been invited to Winlium". It names the person who invited you and the companies you can join. Select the link in the email.

  1. Open the link

    Select the link in your invitation email. The page is called Activate your account. It says "Choose a password to finish setting up your WINLIUM account".
  2. Choose a password

    Type a password in Password. Use at least 6 characters.
  3. Confirm it

    Type the same password in Confirm Password.
  4. Select Activate account

    Select Activate account. The button shows "Activating..." for a moment.
  5. Start working

    Winlium shows "Account activated — welcome to WINLIUM". You are signed in and the Home screen opens. You do not need to sign in again.

What to know:

  • The link works for 72 hours and for one use.
  • When you activate, Winlium signs you in to the first company on your invite.
  • An administrator chooses your role when they invite you. If the Home screen says "Welcome — your account is being set up", your role is not ready yet. Tell your administrator. Your menu fills in by itself when they give you a role.
  • The one-time code step does not apply when you activate. It applies at later sign-ins, only if an administrator turned it on for you.

This link is invalid or has expired

Appears: Activate your account page, after Activate account

Why it happens
The link is older than 72 hours, you already used it, or an administrator sent you a newer invite that replaced it.
How to fix it

Ask your administrator to resend the invite. Use the newest email. Only the newest link works.

This invitation link is missing its token — please use the link from your email.

Why it happens
You opened the page without the link from the email, for example by typing the address.
How to fix it

Go back to the email and select the link.

Passwords don't match

Appears: Activate your account page, under Confirm Password

Why it happens
The two boxes are different.
How to fix it

Type the same password in both boxes.

Winlium also limits how often the link can be tried. After several quick tries it makes you wait.

Set up a workspace (workspace invite)

Splendidcomm sends this email to the person who will run a new Winlium workspace. Select the link in the email. Winlium first checks the invite. You see "Checking your invitation…" for a moment, then one of these screens.

    Under "Setting up as:" check that the name and email are yours.
  2. Choose a password

    Type a password in Password. A note under the box shows Weak, Fair or Strong.
  3. Confirm it

    Type the same password in Confirm Password.
  4. Select Set up my workspace

    Select Set up my workspace. The button shows "Setting up..." for a moment.
  5. Create your first company

    Winlium shows "Workspace ready — welcome to WINLIUM" and opens the first-company screen. Continue in Choose a company.

The strength note is only advice. Winlium accepts any password of 6 or more characters.

The workspace invite works for 7 days and for one use.

How an administrator sends an invite

Only administrators send invites. You need access to Administration in the menu. Your role must allow you to manage users. See Roles, permissions and module restriction.

  1. 1Type the first and last name.
  2. 2Type the email address the invite goes to.
  3. 3Choose the company and tap the roles the person should have.
  4. 4Select Send Invitation.
  1. Open User Management

    In the menu choose Administration, then User Management.
  2. Start a new invite

    Select New. The Invite User page opens.
  3. Enter the person's details

    Fill in First Name, Last Name and Email.
  4. Choose companies and roles

    Under Companies & Roles, pick a company, then tap each role the person should have. Select Add company to add another company. Use the bin icon to remove a company row.
  5. Send it

    Select Send Invitation (hover over the icon button at the top right to see its name). Winlium shows "Sending invitation..." then "Invitation sent".
  6. Choose what next

    The Invitation sent screen says the email went out and the link expires in 72 hours. Select Invite another or Back to users.

The Invite User page also has an Import from HRM employee switch. Turn it on, pick an employee, and select Import to fill in the name and email from the employee record.

Roles in the picker show the company they belong to after a dot. A role marked Platform works in every company. Choose roles carefully: roles decide what the person can see and do.

What happens next

  • The person gets the invite email. The link works for 72 hours.
  • The person appears in the User Management list with the status Invited until they activate.
  • Their company and roles are ready the moment they activate.

Resend or revoke an invite

In the User Management list, open the row menu for an Invited user.

  • Select Resend invite to send a new email. The new link replaces the old one, so the old one stops working. Winlium shows "Invitation resent to" and the email.
  • Select Revoke invite to cancel it. The invite link stops working and the user becomes Deactivated. Winlium shows "Invitation revoked for" and the email.

Seat limit

Your licence allows a fixed number of users, called seats. The User Management page shows a note such as "12 of 15 user seats used" (an example). Rules:

  • An invited user who has not activated yet still uses a seat.
  • Deactivating a user frees their seat and keeps their history.
  • Seats are checked when you invite a user, create a user, or reactivate a user.
  • When every seat is used, Winlium refuses the action and shows: "All 15 user seats are in use. Deactivate a user or request more seats before adding another." (The number is an example.)

Common invite messages

A user with email

Appears: Invite User page, after Send Invitation

Why it happens
The email already belongs to a user who is not waiting on an invite. The full message ends with 'already exists'.
How to fix it

Use a different email, or ask the existing user to sign in. If they forgot the password, they can use Forgot your password?.

One or more selected roles could not be found

Appears: Invite User page, after Send Invitation

Why it happens
A role you chose was removed after you opened the page.
How to fix it

Reload the page and choose the roles again.

No pending invitation found for this user

Appears: User Management, after Resend invite or Revoke invite

Why it happens
The user already activated, or the invite was already revoked.
How to fix it

Refresh the list. Nothing more to do.
