Expense troubleshooting and FAQ

Find the message you see, why it appears and who fixes it, plus answers to the questions people ask most when they use Expense.

Checked against the product 06 Oct 2026

Messages appear as a red notification at the corner of the screen, or as a red box on the form. Where a message shows a status in capitals, such as PENDING_APPROVAL, that is how Winlium writes the status in the message. In <angle brackets> Winlium puts the real name, number or amount.

Each entry says who fixes the problem: the employee (the person who filed the document), finance, or an administrator (the person who manages Expense Settings, categories and policies).

Blocked actions

Saving and editing an expense

Title is required

Appears: New Expense form, Save Draft

Why it happens
The Title field is empty. Expense Type is also required, with the message Expense type is required.
How to fix it

Employee: type a short title that says what the expense is for, then save again.

Line {n}: please select a category

Appears: New Expense form, Save Draft, Update or Submit for Approval

Why it happens
Row {n} of Expense Lines has no Category.
How to fix it

Employee: pick a category on that row. If the list is empty, see Why can't I select a category?

Add at least one expense line

Appears: New Expense form, Submit for Approval

Why it happens
The expense has no lines.
How to fix it

Employee: add a row with Add New Row, fill it in and submit again.

Select the advance this claim is clearing

Appears: New Expense form, when Expense Type is Advance Clearance

Why it happens
Link to Advance is empty.
How to fix it

Employee: pick your advance in Link to Advance. If it is not in the list, see Why is my advance missing from Link to Advance?

Select the petty cash fund this claim is drawn from

Appears: New Expense form, when Expense Type is Petty Cash

Why it happens
Petty Cash Fund is empty.
How to fix it

Employee: pick the fund in Petty Cash Fund. Only active funds are listed. Ask finance if your fund is missing.

FX rate must be a number

Appears: New Expense form, when a foreign Currency is chosen

Why it happens
FX Rate is empty or not a number. A negative rate gives the message FX rate cannot be negative.
How to fix it

Employee: enter the rate from the expense currency to your company's home currency, as a positive number.

One or more lines require a receipt before this can be submitted

Appears: New Expense form, Submit for Approval

Why it happens
A line whose category requires a receipt has none. A small warning icon marks those lines.
How to fix it

Employee: upload a receipt (an image or a PDF) in the Receipt column of each marked line, then submit.

Category "<name>" requires a receipt for line "<description>"

Appears: Save Draft or Update

Why it happens
The category has Requires Receipt switched on and the line has no receipt.
How to fix it

Employee: upload the receipt on that line. Administrator: if receipts should not be needed for this category, switch off Requires Receipt on the category.

Receipt required for <category> line of ₦<total>. Your policy requires receipts above ₦<threshold>.

Appears: Save Draft or Update

Why it happens
The line total (tax included) is more than the receipt threshold. The threshold comes from your expense policy, or from Receipt Required Above in Expense Settings if the policy sets none. Mileage lines never need a receipt.
How to fix it

Employee: upload a receipt on that line. Administrator: change the threshold in the policy or in Expense Settings.

Line "<description>" (<total>) exceeds this policy's maximum single claim amount of <max>

Appears: Save Draft or Update

Why it happens
One line is above Max Single Claim Amount in your policy. The limit applies to each line, not to the whole claim.
How to fix it

Employee: split the spend only if it is really separate items, or ask an administrator to raise the limit. Administrator: change Max Single Claim Amount on the policy.

Category "<name>" is not allowed under this policy

Appears: Save Draft or Update

Why it happens
Your policy lists the categories it allows, and this one is not on the list.
How to fix it

Employee: pick an allowed category. Administrator: add the category to Allowed Categories on the policy, or leave that list empty to allow all.

An expense policy is required — none matched this submitter

Appears: Save Draft

Why it happens
Require Policy Assignment is on in Expense Settings and Winlium found no policy for you.
How to fix it

Administrator: create an active policy, or switch off Require Policy Assignment. See Policies.

Advance Clearance expenses must link to an advance request

Appears: Save Draft

Why it happens
The expense type is Advance Clearance but no advance is linked. This also happens after Duplicate on a clearance expense, because a copy does not keep the link.
How to fix it

Employee: pick the advance in Link to Advance and save again.

Petty Cash claims must select which fund they are drawn from

Appears: Save Draft

Why it happens
The expense type is Petty Cash but no fund is chosen. This also happens after Duplicate on a petty cash expense.
How to fix it

Employee: pick the fund in Petty Cash Fund and save again.

At least one expense line is required

Appears: Save Draft, or converting a public submission

Why it happens
The expense has no lines.
How to fix it

Employee: add a line. Finance: check that the public submission has lines.

Category "<name>" is not active

Appears: Save Draft or Update

Why it happens
An administrator has deactivated the category the line uses.
How to fix it

Employee: choose another category. Administrator: reactivate the category in Categories.

Category "<name>" requires a project code

Appears: Save Draft or Update

Why it happens
The category has Requires Project Code on. The expense form has no Project field, so an employee cannot fill it in.
How to fix it

Administrator: switch off Requires Project Code on the category, or give staff another category. The same applies to Category requires a job card, which is the message for Requires Job Card.

Category <categoryId> not found

Appears: Save Draft

Why it happens
The category was deleted after the page was opened.
How to fix it

Employee: reload the page and choose the category again.

Only Draft or Rejected expenses can be edited (current status: <STATUS>)

Appears: Update on the New Expense form

Why it happens
Only Draft and Rejected expenses can be edited. Awaiting Approval, Approved and Paid expenses are locked.
How to fix it

Employee: if the expense is Awaiting Approval, select Recall first, then edit. An Approved or Paid expense cannot be changed. Create a new expense instead and tell finance.

Failed to create expense

Appears: New Expense form, Save Draft

Why it happens
The save failed and Winlium had no more detail. This text shows only when the server sent no message.
How to fix it

Employee: try again. If it repeats, tell your administrator the time and what you were saving. Check also that your role can read categories, taxes and currencies, because the form needs them.

Failed to update expense

Appears: New Expense form, Update

Why it happens
Same as above, for an existing expense.
How to fix it

Employee: try again, then tell your administrator.

Failed to upload receipt

Appears: Receipt column on an expense line

Why it happens
The file did not upload.
How to fix it

Employee: check that the file is an image or a PDF and try again. If it repeats, tell your administrator.

Submitting for approval

Only Draft or Rejected expenses can be submitted for approval (current: <STATUS>)

Appears: Submit for Approval

Why it happens
The expense was already submitted or is already approved or paid.
How to fix it

Employee: check the status in My Expenses. Nothing more is needed if it is Awaiting Approval.

Cannot submit an expense with no lines

Appears: Submit for Approval

Why it happens
The saved expense has no lines.
How to fix it

Employee: add a line, save, then submit.

This submission would bring your total expense claims for <Month Year> to ₦<projected>, exceeding your policy limit of ₦<limit>. You have ₦<remaining> remaining for this month.

Appears: Submit for Approval

Why it happens
Your policy has a Max Monthly Claim Amount. Winlium adds this expense to your claims that are already Approved or Paid this month (counted by the month each was created). Claims still awaiting approval are not counted.
How to fix it

Employee: reduce the claim, or wait until next month. Administrator: change Max Monthly Claim Amount on the policy.

Line <n> (<category>) would exceed the budget for this period by ₦<over>. Submission blocked. Contact your finance manager to request a budget revision.

Appears: Submit for Approval

Why it happens
Block Submission When Over Budget is on in Expense Settings and a line is over the allowed overrun for its budget. The check uses the line amount before tax.
How to fix it

Finance: revise the budget in Budget Planning. Administrator: change Allow Up To (%) or switch off Block Submission When Over Budget. See Budget checks.

This expense exceeds budget

Appears: Box on the New Expense form, Submit for Approval

Why it happens
This is a warning, not an error. Warn When Expense Exceeds Budget is on, and the box lists each line over budget, for example Line 1 (Fuel) exceeds its budget by ₦25,000.00.
How to fix it

Employee: select Submit Anyway to continue, or Cancel to change the claim first.

Failed to submit for approval

Appears: New Expense form or New Advance Request form, Submit for Approval

Why it happens
The submit failed and the server sent no detail.
How to fix it

Employee: try again, then tell your administrator.

Deleting and duplicating

Only Draft expenses can be deleted

Appears: My Expenses, row menu, Delete

Why it happens
You chose Delete on an expense that is not a Draft. The menu shows Delete on every row. Winlium refuses after you choose it. The server's own wording is Only Draft expenses can be deleted (current status: <STATUS>).
How to fix it

Employee: Draft expenses can be deleted. To withdraw one that is Awaiting Approval, select Recall on the expense, then delete the draft. Approved and Paid expenses cannot be deleted.

Failed to duplicate expense

Appears: My Expenses, row menu, Duplicate

Why it happens
The copy could not be created. A copy of an Advance Clearance or Petty Cash expense does not keep its advance or fund, so saving it asks you to pick them again.
How to fix it

Employee: open the copy, pick the advance or fund, and save. If the copy does not exist, start a new expense.

Approvals

No approval workflow matches this expense and no default workflow is configured. Please contact your administrator.

Appears: Submit for Approval

Why it happens
No active workflow template matches the claim, and Default Claim Workflow is empty in Expense Settings.
How to fix it

Administrator: create a workflow template for expenses, or choose one in Default Claim Workflow. See Approving expenses and Workflows and approvals.

No approval workflow matches this expense and the configured default workflow could not be used. Please contact your administrator.

Appears: Submit for Approval

Why it happens
Default Claim Workflow is set, but that template is inactive, belongs to another document type, or is not in your company.
How to fix it

Administrator: choose an active template whose document type is Expense in Default Claim Workflow.

No approval workflow matches this external-payee claim and no external-payee workflow is configured. Please contact your administrator.

Appears: Submit for Approval on a claim converted from a public submission

Why it happens
The claim is for an outside payee, no template matches, and External-Payee Workflow (fallback) is empty.
How to fix it

Administrator: choose a template in External-Payee Workflow (fallback) in Expense Settings, or create a template with a payee type condition.

No approval workflow matches this advance request and no default workflow is configured. Please contact your administrator.

Appears: New Advance Request form, Submit for Approval

Why it happens
No template matches the advance and Default Advance Workflow is empty. When a default is set but unusable, the message ends: and the configured default workflow could not be used. Please contact your administrator.
How to fix it

Administrator: choose an active template whose document type is Advance Request in Default Advance Workflow.

Workflow service is not available

Appears: Submit for Approval or Recall

Why it happens
Winlium could not reach the approval service at that moment.
How to fix it

Employee: wait a minute and try again. If it continues, tell your administrator.

Only expenses pending approval can be recalled (current: <STATUS>)

Appears: Recall

Why it happens
Only an Awaiting Approval expense can be recalled.
How to fix it

Employee: check the status. A Draft needs no recall. An Approved expense cannot be recalled.

No pending approval task was found to recall — an approver may have already actioned this expense.

Appears: Recall

Why it happens
An approver acted on the expense just before you selected Recall.
How to fix it

Employee: reload the expense to see its new status. A similar message from the approval service is Cannot recall — an approver has already actioned this document.

Only the submitter can recall this document

Appears: Recall

Why it happens
Someone other than the person who submitted the expense tried to recall it.
How to fix it

The person who submitted it must recall it.

Only pending workflows can be recalled (current: <INSTANCE STATUS>)

Appears: Recall

Why it happens
The approver has asked a question and is waiting for the answer, so the approval is not pending.
How to fix it

Employee: answer the approver's question with Send Response instead.

This expense has no active approval workflow.

Appears: Recall

Why it happens
The expense is not tied to an approval any more.
How to fix it

Employee: reload the expense and check its status.

Failed to recall expense

Appears: New Expense form, Recall

Why it happens
The recall failed and the server sent no detail. The server's own fallback is Failed to recall this expense.
How to fix it

Employee: reload the expense and try again.

Enter a response before sending

Appears: New Expense form, Send Response

Why it happens
The answer box is empty. The box appears when an approver has asked a question.
How to fix it

Employee: type your answer in the box, then select Send Response.

This expense is not awaiting clarification.

Appears: Send Response

Why it happens
The approver's question was already answered or withdrawn. The approval service may say This document is not awaiting clarification.
How to fix it

Employee: reload the expense.

Failed to send your response

Appears: New Expense form, Send Response

Why it happens
The answer was not sent. The server's own fallback is Failed to submit your response.
How to fix it

Employee: try again.

Posting problems

These messages come from the step that writes to the ledger: Submit when a claim is approved at once because of Auto-Approve Below, Confirm in Process Expenses, Confirm in Disburse Advances, and Confirm when replenishing or correcting petty cash. Most are setup problems that an administrator fixes once. See Setup order and Ledger impact.

Employee Payable account is not configured in Expense Settings

Appears: Submit (auto-approve) or Process Expenses, Confirm

Why it happens
Employee Payable Account is empty in Expense Settings.
How to fix it

Administrator: choose a liability account in Employee Payable Account, then ask the employee or finance to try again.

External Payee Payable account is not configured in Expense Settings

Appears: Same, for claims of outside payees

Why it happens
External Payee Payable Account is empty.
How to fix it

Administrator: choose a liability account in External Payee Payable Account.

Staff Advance account is not configured in Expense Settings

Appears: Disburse Advances, Confirm; or Submit on an Advance Clearance expense that is approved at once

Why it happens
Staff Advance Account is empty.
How to fix it

Administrator: choose an asset account in Staff Advance Account.

Corporate Card Payable account is not configured in Expense Settings

Appears: Submit on a Corporate Card expense that is approved at once

Why it happens
Corporate Card Payable is empty.
How to fix it

Administrator: choose a liability account in Corporate Card Payable.

This claim has no Petty Cash fund selected and no default Petty Cash account is configured

Appears: Submit on a Petty Cash expense that is approved at once

Why it happens
The expense has no fund and Default Petty Cash Account is empty.
How to fix it

Employee: pick a fund on the expense. Administrator: set Default Petty Cash Account.

<label> account could not be found in the chart of accounts

Appears: Same places

Why it happens
An account chosen in Expense Settings no longer exists in the Chart of Accounts. The label is the account name, for example Employee Payable.
How to fix it

Administrator: choose a valid account in Expense Settings.

Employee Payable account not found

Appears: Process Expenses, Confirm

Why it happens
The payable account in Expense Settings cannot be found. For outside payees the message names External Payee Payable.
How to fix it

Administrator: choose a valid account in Expense Settings.

Expense line <id> has no category expense account configured

Appears: Auto-approve at Submit

Why it happens
The category had no Expense Account when the draft was last saved.
How to fix it

Administrator: set Expense Account on the category. Employee: open the draft and save it again so it picks up the account. If the account was deleted, the message is Category expense account for line <id> was not found.

Tax "<tax name>" on line <id> has no posting account configured

Appears: Auto-approve at Submit

Why it happens
The tax on the line has no purchase account (or default account) in Accounting.
How to fix it

Administrator: set the purchase account on the tax in Accounting > Taxes.

No active financial period found for date: <YYYY-MM-DD>

Appears: Any posting step

Why it happens
No financial year and period in Accounting covers that date. A claim posts on each line's date. Payments, disbursements and top-ups post on today's date.
How to fix it

Administrator or finance: create or open the financial year and period in Accounting. See Financial years and periods.

Financial period for date <YYYY-MM-DD> is blocked for transactions

Appears: Any posting step

Why it happens
The period or its financial year is blocked.
How to fix it

Finance: unblock the period in Accounting, or ask the employee to change the line date to an open period (only possible while the expense is Draft or Rejected).

Failed to post GL <leg> entry — check transaction-service logs for [GL_ERROR]

Appears: Any posting step

Why it happens
The ledger did not accept the entry. The text names the part that failed, for example the category debit or the payable credit.
How to fix it

Administrator: this needs a technical check. Employee or finance: tell your administrator the document number, the time and the full message.

Paying a claim from Process Expenses

Select a bank account for a bank transfer payment

Appears: Process Reimbursement box, Confirm

Why it happens
Payment Method is Bank Transfer and Bank Account is empty.
How to fix it

Finance: choose the Bank Account. If the list says "No cash/bank accounts found", an administrator must add a Cash & Cash Equivalents account in the Chart of Accounts, and your role needs permission to read the Chart of Accounts.

bankAccountId must be a UUID

Appears: Process Reimbursement box, Confirm, when Payment Method is Cash or Salary Deduction

Why it happens
For Cash and Salary Deduction the screen sends no bank account, and the server insists on one. Payment cannot be completed with these two methods today.
How to fix it

Finance: choose Bank Transfer, pick the cash or bank account you pay from, and select Confirm again. See Known limits.

Only Approved expenses can be processed for payment (current: <STATUS>)

Appears: Process Reimbursement box, Confirm

Why it happens
The expense is already Paid, or is not Approved. This also appears for an expense you already paid when a bulk payment partly failed and you select Confirm again with all the rows still ticked.
How to fix it

Finance: reload Process Expenses. Paid rows disappear from the list. Pay only what is left.

Only CLAIM-type expenses require a reimbursement payment — <TYPE> expenses are settled at approval

Appears: Process Reimbursement box, Confirm

Why it happens
Advance Clearance, Petty Cash and Corporate Card expenses have no payment step.
How to fix it

Nothing to do. These expenses show Paid as soon as they are approved.

Bank account not found

Appears: Process Reimbursement, Disburse Advance and Replenish boxes

Why it happens
The chosen account no longer exists in the Chart of Accounts.
How to fix it

Finance: reload the page and choose another account.

Advances

Advance requests are not permitted under your current expense policy. Contact your administrator.

Appears: New Advance Request form (also shown as a red card)

Why it happens
Your policy has Allow Advance Requests switched off. All buttons except New are disabled.
How to fix it

Administrator: switch on Allow Advance Requests on the policy that applies to this employee.

Cash advance requests are disabled for this company

Appears: New Advance Request form, Save as Draft

Why it happens
Allow Advance Requests is off in Expense Settings.
How to fix it

Administrator: switch on Allow Advance Requests in Expense Settings.

You have an outstanding advance (<ADV-nnn>) that must be cleared before requesting another

Appears: New Advance Request form, Save as Draft

Why it happens
Block New Advance if Previous Uncleared is on, and you have an advance that is Disbursed, Partially Cleared or Overdue. An amber card on the form shows the same news before you save.
How to fix it

Employee: clear the earlier advance with an Advance Clearance expense. See Advance to clearance.

Requested amount exceeds the maximum advance amount of <max>

Appears: New Advance Request form, Save as Draft

Why it happens
The amount is above the maximum in your policy, or above Maximum Advance Amount in Expense Settings if the policy sets none. The form shows the maximum under Requested Amount.
How to fix it

Employee: request the maximum or less. Administrator: change the limit.

Purpose is required

Appears: New Advance Request form

Why it happens
Purpose is empty. A Requested Amount of zero gives the message Requested amount must be greater than 0.
How to fix it

Employee: fill in both fields.

Only Draft or Rejected advance requests can be edited (current: <STATUS>)

Appears: New Advance Request form, Save as Draft

Why it happens
A submitted, approved or disbursed advance is locked. Advances cannot be recalled.
How to fix it

Employee: ask the approver to reject the advance if it must change, then edit and resubmit. A similar message, Only Draft or Rejected advance requests can be submitted (current: <STATUS>), appears on Submit for Approval.

Failed to create advance request

Appears: New Advance Request form, Save as Draft

Why it happens
The save failed and the server sent no detail. Failed to update advance request appears when you edit.
How to fix it

Employee: try again, then tell your administrator.

Select a bank account for a bank transfer disbursement

Appears: Disburse Advance box, Confirm

Why it happens
Disbursement Method is Bank Transfer and Bank Account is empty. The server's wording is A bank account is required for a bank-transfer disbursement.
How to fix it

Finance: choose the Bank Account.

No disbursement account provided or configured

Appears: Disburse Advance box, Confirm, with Cash

Why it happens
Cash has no bank account of its own. Winlium uses Default Petty Cash Account from Expense Settings, and it is empty.
How to fix it

Administrator: set Default Petty Cash Account. Finance: or use Bank Transfer and choose an account.

Only Approved advance requests can be disbursed (current: <STATUS>)

Appears: Disburse Advance box, Confirm

Why it happens
The advance was already disbursed, or is not yet approved.
How to fix it

Finance: reload Disburse Advances.

Staff Advance account not found

Appears: Disburse Advance box, Confirm

Why it happens
The Staff Advance Account chosen in Expense Settings no longer exists.
How to fix it

Administrator: choose a valid account in Expense Settings.

Petty cash

Fund name is required

Appears: Petty Cash Fund form

Why it happens
Fund Name is empty. The other required fields give Custodian is required, Control account is required and Imprest amount must be greater than 0.
How to fix it

Administrator: fill in the missing field.

Petty cash control account must be a Cash & Cash Equivalents account — "<account name>" is not

Appears: Petty Cash Fund form, save

Why it happens
The chosen Control Account is not a Cash & Cash Equivalents account. The same text applies to Funding Bank Account, with that name in front.
How to fix it

Administrator: choose a Cash & Cash Equivalents account. If none are listed, create one in the Chart of Accounts first.

Petty cash fund "<name>" is inactive

Appears: New Expense form, Replenish, Adjust balance

Why it happens
The fund's Status is Inactive. An expense cannot draw on it, and it cannot be replenished or corrected. A fund that has history is made inactive when it is deleted.
How to fix it

Administrator: set Status to Active on the fund, or use another fund.

Nothing to replenish — this fund is already at or above its imprest amount

Appears: Replenish Petty Cash box, Confirm

Why it happens
The shortfall is zero. The Replenish button shows even then.
How to fix it

Nothing to do. Replenish when the Shortfall is above zero.

This would take the fund to ₦<new balance>, above its imprest ceiling of ₦<imprest>. The most you can replenish right now is ₦<shortfall>.

Appears: Replenish Petty Cash box, Confirm

Why it happens
The amount is more than the shortfall.
How to fix it

Finance: enter the shortfall or less.

Select the bank account this replenishment is funded from

Appears: Replenish Petty Cash box, Confirm

Why it happens
Bank Account is empty. The amount must also be above zero. Otherwise the message is Enter a replenishment amount greater than zero.
How to fix it

Finance: choose the Bank Account and an Amount.

Petty cash fund "<name>" has insufficient balance (₦<balance>) to cover this claim of ₦<amount>. Replenish the fund first.

Appears: Submit on a Petty Cash expense that is approved at once

Why it happens
The fund's Current Balance is lower than the claim and Allow Negative Balance is off.
How to fix it

Finance: replenish the fund, or an administrator switches on Allow Negative Balance. Check Available: on the expense form before you submit.

Enter what the balance should actually be

Appears: Correct Petty Cash Fund Balance box

Why it happens
Correct Balance Should Be is empty. The other messages in this box are Select the bank account this correction is posted through and Enter a reason for this correction — it goes on the audit trail.
How to fix it

Finance: fill in the missing field.

That is already the current balance — nothing to correct

Appears: Correct Petty Cash Fund Balance box

Why it happens
The figure equals the balance. The server says This fund is already at that balance — nothing to correct.
How to fix it

Finance: enter a different figure, or close the box.

The corrected balance (₦<n>) cannot exceed the fund's imprest amount (₦<imprest>)

Appears: Correct Petty Cash Fund Balance box, Confirm Correction

Why it happens
The new balance is above the imprest amount. A negative figure gives The corrected balance cannot be negative for a fund that does not allow a negative balance.
How to fix it

Finance: enter a figure from zero up to the imprest amount.

Public submission

This link is invalid or has been disabled

Appears: Public claim page, Link Error card

Why it happens
The link was switched off or replaced (rotated) by an administrator, or it was copied wrongly.
How to fix it

Claimant: ask the organisation for the current link. Administrator: see Public submission link.

This link is invalid. Please check it and try again.

Appears: Public claim page, Invalid Link card

Why it happens
The web address has no link code.
How to fix it

Claimant: copy the whole link again.

This organization has reached its daily limit for public claim submissions. Please try again tomorrow.

Appears: Public claim page, Submit Claim

Why it happens
The organisation reached Max Submissions Per Day, counted over the last 24 hours across all visitors.
How to fix it

Claimant: try again tomorrow. Administrator: raise Max Submissions Per Day in Expense Settings.

This form has no categories configured yet — contact the organization

Appears: Public claim page, Submit Claim

Why it happens
No categories are ticked in Categories a Public Visitor May Select.
How to fix it

Administrator: tick at least one category in Expense Settings.

Failed to submit claim. Please try again.

Appears: Public claim page, Submit Claim

Why it happens
The submit failed and the server sent no detail. Other messages you can see here are At least one line is required, and Category <id> is not available on this form (the category is no longer allowed on the form). The page also stops with Please fix the highlighted fields below before submitting. when fields are missing.
How to fix it

Claimant: check each line (Date, Category, amount or distance, and the description), then try again. A too-fast series of attempts is also refused for a while.

Why it happens
Only JPEG, PNG, GIF and PDF files up to 10 MB are accepted. A larger file gives File size exceeds 10MB. The page still shows Receipt attached when the file was refused.
How to fix it

Claimant: send a JPEG, PNG, GIF or PDF under 10 MB. If unsure, mention the receipt in the description and give it to the reviewer.

This submission must be matched to an employee or an external payee before it can be converted

Appears: Review Public Submissions, Convert to Draft Expense

Why it happens
The submission has not been matched.
How to fix it

Reviewer: use Match Employee or External Payee first.

Payee name is required

Appears: Review Public Submissions, External Payee tab, Create new

Why it happens
The payee name is empty. Choosing Existing payee without picking one gives Select an existing payee, or switch to Create New.

A rejection reason is required

Require Policy Assignment is on and no policy matches the matched employee.

Administrator: create an active policy or switch off Require Policy Assignment.

Employee not found

Appears: Review Public Submissions, Match to Selected Employee

Why it happens
The employee is no longer in the HR records. Matched employee could not be found appears in the same way when converting.
How to fix it

Reviewer: search again and pick another employee.

Failed to convert submission

Appears: Review Public Submissions, Convert to Draft Expense

Why it happens
Conversion failed with no detail. Conversion runs the same line checks as a new expense, so the message is often one from [Saving and editing an expense](#saving-and-editing-an-expense).
How to fix it

Reviewer: read the message in the notification, fix the cause, and try again.

A category with this code already exists

Appears: Expense Categories, save a new category

Why it happens
Another category in your company has the same Category Code.
How to fix it

Administrator: choose another code.

Selected account is not an expense-type account. Only expense accounts (Other Expense, Cost of Sales, Tax Expense, Finance Cost, Distribution Cost, Administration Expense) may be used on an expense category.

Why it happens
The Expense Account is not one of those account types.
How to fix it

Administrator: choose an expense account. See Categories.

Required: Name, Phone, Bank name

Appears: External Payees, Save

Why it happens
One or more of Name, Phone, Email, Bank name, Account number and Account name is blank. The message lists the blank ones. The server's wording is Name, Phone are required.
How to fix it

Administrator: fill in all six fields. See External payees.

Failed to save external payee

Appears: External Payees, Save

Why it happens
The save failed with no detail.

Why it happens
No record matches your filters. Reports also show nothing if your role cannot read the data behind them, and they show no error then.
How to fix it

Widen the filters. If you expect data, check that the report's End date is not the day you want (see Known limits), and ask your administrator to check your role.

Why it happens
The Audit Report could not run.
How to fix it

Try again, then tell your administrator.

Failed to send report

Appears: Report toolbar, Email

Why it happens
The email could not be sent. An empty or wrong address gives Enter a valid email address.

Frequently asked questions

Why can't I edit my expense?

Only Draft and Rejected expenses can be edited. If it is Awaiting Approval, select Recall to bring it back to Draft. If it is Approved or Paid, it is final. See New Expense.

Why is my claim not in Process Expenses?

Process Expenses lists only expenses of type Claim that are Approved. A claim still Awaiting Approval is not there yet. Advance Clearance, Petty Cash and Corporate Card expenses never appear, because they are settled when approved. A claim made for you from a public submission may be recorded under your staff record and not show in your own My Expenses. See Process Expenses.

Why can't I select a category?

Categories that an administrator deactivated are not offered. If the list is empty for every employee, your role may not be allowed to read categories. Ask an administrator. A policy with Allowed Categories also limits what you can save. See Categories.

Who approves my expense?

The approval workflow decides. An administrator sets it up and Winlium picks the matching template when you submit. The approver acts in the Approvals inbox. See Approving expenses and Working with approvals.

Can I cancel an expense?

A Draft can be deleted. An expense that is Awaiting Approval can be recalled, then deleted. An Approved or Paid expense cannot be cancelled in Expense. An advance cannot be recalled or cancelled after you submit it.

How do I attach a receipt?

On the expense form, use the Receipt column of each line. Choose an image or a PDF. It uploads at once and the filename shows as a link. A line whose category needs a receipt shows a warning icon until you add one. There is no place for one file on the whole expense.

Why was my claim rejected?

Open the expense. A red banner says "Rejected:" and gives the approver's reason. Edit the claim, which returns it to Draft, then select Submit for Approval again.

The list shows only your own advances that are Disbursed or Partially Cleared and still have an amount outstanding. An advance that is still waiting for disbursement, fully cleared or marked Overdue is not offered. Ask finance to check the advance in Advance Report. See Advance to clearance.

How do I know I have been paid?

The claim's status changes to Paid. Winlium does not send you a message. Check My Expenses.

Why does my petty cash or advance clearance expense say Paid when I got no money?

Those expenses settle when they are approved. Paid only means the expense is complete. For a petty cash expense, the cash was already spent from the float. For a clearance, it reduces what you owe on the advance.

Why does Delete show on an expense I cannot delete?

The row menu shows Delete for every expense. Winlium refuses after you choose it unless the expense is a Draft.

Why does a report miss the last day I chose?

Expense Report, Advance Report and Budget vs Actual stop at the start of the Date To day. Choose the next day. See Known limits.

Why does the Expense card in Administration open the wrong page?

The Administration hub card opens a page called Expenses Settings, which holds none of the settings described in this guide. Use Expense Settings, reached from the Administration menu. See Expense Settings.

There is no login, so you cannot check it online. Keep the reference code shown on the Claim Submitted screen and contact the organisation. A reviewer decides what happens next.

Why does my budget warning not stop me?

Budgets only warn or block when an administrator has switched on Warn When Expense Exceeds Budget or Block Submission When Over Budget, and a matching budget exists. See Budget checks.
