Navigating the app

Find your way around Winlium: the menu, the Home screen, page search with Ctrl K, breadcrumbs, notifications, the account menu, list-page tools and access messages.

This page shows the parts of the Winlium screen and how to use them.

The menu

The menu is on the left. On a phone it opens from the hamburger button at the top left.

  1. 1Search pages. Press Ctrl K from anywhere.

From the top, the menu holds:

  1. The search box, Search pages...
  2. Home
  3. Approvals, with My Approvals, Outstanding Work and My Delegations. See Working with approvals.
  4. The module groups. Their headings are Core Operations, Property, People & Relationships, Operations & Productivity and Administration & Control. The modules in each group are listed in What is Winlium.

Select a module to open it. Inside a module you see up to five headings: Quick View, Configuration, Operations, BID (Business Intelligence Dashboard) and Reports. Select a heading to see its pages, then select a page.

  • The module you are in stays open and its current page is highlighted.
  • On a wide screen, the small arrow next to the menu collapses it to icons. Hover over an icon to see the name.
  • On a phone, the menu closes by itself after you select a page.

Why a module is missing from your menu

You see a module only when all of these are true.

  1. Your company has the module turned on.
  2. Your role gives you at least one permission in that module.
  3. An administrator has not restricted your account from that module.

Two items are always shown to everyone who is signed in: Home and My Approvals. Approvals can be sent to anyone. Administration shows only for people with administration access.

If you need a module you cannot see, ask your administrator. See Roles, permissions and module restriction. Winlium checks your access about every 30 seconds and when you return to the browser tab. A change an administrator makes appears by itself, without signing out.

Locked pages

Inside a module, a page can show greyed out with a small padlock. This means your role does not include that page. You cannot open it. Hover over it to read: "You don't have access to this section — contact your administrator."

The Home screen

Home is the first screen after sign-in unless you saved a favourite module. It says Welcome to WINLIUM Dashboard. The line under it reads "Manage your business operations from one central place".

Home shows one card for each module you can use, grouped as Core Operations, Property, People & Relationships, Operations & Productivity and Administration & Control. Select a card to open the module. Each card has a star in its top-right corner. Select the star to make that module open first when you sign in. Select it again to remove it.

Two other Home messages appear in special cases.

Search pages (Ctrl K)

Search takes you to a page fast. It searches page names in your menu. It does not search inside documents, customers or items.

  1. Open search

    Press Ctrl and K together (Command and K on a Mac). Or select Search pages... at the top of the menu.
  2. Type

    Type part of the page name, for example "journal". You can also type a short word people use for it, such as "grv" for Goods Received Voucher, or "po" for Purchase Orders.
  3. Choose a result

    Use the up and down arrow keys, then press Enter. Or select a result with the mouse.
  4. Close search

    Press Esc to close the popup without going anywhere.

How search works:

  • Each result shows the page name and below it the menu path, for example Accounting → Operation → Bill.
  • Typing several words narrows the list. Every word must match.
  • A near match works. Typing "invitm" can find "Inventory Items".
  • Winlium shows up to 50 results. With nothing typed it shows the first 50 pages in your menu.
  • You only find pages you can open. Pages for modules you cannot see, and locked pages, do not appear.
  • When nothing matches, Winlium says "No pages found for" and your words, then "Check the spelling or try a shorter term."

Near the top of most pages is a trail such as Dashboard / Expense / My Expenses / Details. It shows where you are.

  • Select any earlier name in the trail to go back to it. The last name is plain text.
  • Words such as Operation, Configuration and Reports are left out of the trail.
  • On a page for one document, the last name shows the document's name or number. While it loads, or if the page has no name, it shows Details.

Notifications

The bell

The bell is at the top right on desktop and in the top bar on a phone. A red number on the bell is your count of unread notifications. Winlium shows 99+ for more than 99. The count updates about every 30 seconds.

  3. 3Select a notification to open the document it is about. A blue dot means unread.

Select the bell. A popup titled Notifications shows your latest 10. Unread ones have a blue dot. Each line shows a title, a short message and how long ago it came.

  • Select a notification to open it. Winlium marks it as read first.
  • Select Mark all as read to mark every notification as read. The button is off when you have none unread.
  • Select View all notifications to open the full page.
  • With none, the popup says "No notifications yet".

Where a notification takes you

If a notification points into a module an administrator has restricted for you, Winlium opens My Approvals instead.

The Notifications page

Select View all notifications to open the page. It shows your latest 100 notifications, 20 to a page.

  3. 3Select a notification to open it, or the tick on the right to mark it read.
  • The line under the heading says how many are unread, or "All caught up".
  • Tabs: All, Unread, Approval, Expense and System.
  • Select the tick on a row (tooltip Mark as read) to mark one notification as read without opening it.
  • Select Next and Previous to move between pages. The text "Page 1 of 3" shows where you are. Buttons appear only when there is more than one page.
  • An empty tab says "No notifications yet", or "No approval notifications" and so on.

After you sign in, a popup can tell you how many unread notifications you have. See Sign in.

Your account button and company

At the top right are the notification bell, the company control and your account button. On a phone these sit in the top bar, with the hamburger button on the left.

  • Select your account button (it shows the first letter of your email and your first name) to open the menu. It shows your first name and Log out.
  • Select Log out to sign out. Winlium takes you to the sign-in page.
  • The company control lets you switch companies. See Choose a company.

Common page buttons

Most pages have a title at the top left. Buttons sit at the top right. Many are icons without words. Hover over an icon to see its name, for example Save. Winlium greys the button out while it is working or when you cannot use it yet.

List pages often show a New button under the title. Select it to start a new record.

ControlWhat it does
Search boxType to find rows. The hint names the columns it searches, for example "Search Email, First Name...". Winlium waits a moment after you stop typing, then filters.
Quick filtersBoxes such as Status open a short list. Tick the values you want.
More filtersOpens a panel. Select Add filter, pick a field and an operator (Contains, Equals, Starts with, Ends with, Is empty, Is not empty), type a value, then select Apply filters. A number on the button shows how many filters are on.
SortPick a field and Ascending or Descending, then select Apply.
Reset allAppears when a filter is on. Clears all filters and the search box.
ExportDownloads the list as CSV, Excel or PDF. It is off when the list is empty.
Add columnsLists columns under "Toggle columns". Tick or untick to show or hide a column. This button shows on wide screens.
Tick boxesSelect rows to see actions for several rows at once, such as Delete and Export.
Row menuThe three dots on a row open actions such as Edit, Duplicate and Delete. Which actions show depends on the page.
Rows per pageType a number from 1 to 1000 and press Enter. The default is 10.
Page buttonsGo to the first, previous, next and last page. The text "Page 2 of 8" shows where you are. The note "0 of 25 row(s) selected." counts ticked rows.

Not every list has every tool. A tool Winlium cannot use on that list is left out.

Access messages

Winlium tells you when something is hidden or blocked by your access. These are the messages you can see.

You don't have access to this section — contact your administrator.

Appears: Menu, when you hover over a padlock

Why it happens
Your role does not include that page.
How to fix it

Ask your administrator to give your role access.

Part of this page is hidden by your permissions

Appears: A yellow banner at the top of a page

Why it happens
Part of the page needs a permission your role lacks. Figures can show as 0 and lists can look empty even though data exists. When several are missing it reads: Parts of this page are hidden by your permissions, followed by a number.
How to fix it

Read the list under the banner. It names each missing permission in short code form, with a plain meaning in brackets, such as "view inventory lot tracking". Send the list to your administrator and ask them to grant it. Select the cross on the banner to hide it. It also clears when you open another page.

You don't have permission to view this

Appears: Inside a section of a page, with a padlock

Why it happens
You lack the permission to see that section. The text may name the section: You don't have permission to view, followed by what it is. The note below says: This is hidden by your permissions — it is not empty.
How to fix it

Ask your administrator to grant the permission shown under the message.

You don't have permission to do this. Missing permission:

Appears: A red message after you select a button

Why it happens
You tried an action your role does not allow. The message names the missing permission and ends: Ask an administrator to grant it to your role under Admin → Roles, then try again.
How to fix it

Send the permission name to your administrator. See Roles, permissions and module restriction.

You don't have access to

Appears: A full page with a padlock and a Go to Home button

Why it happens
An administrator restricted your account from that module. The page continues with the module name, then: An administrator has restricted your account from this module. Contact them if you think this is a mistake.
How to fix it

Select Go to Home. Ask your administrator if you need the module.

isn't enabled for your company

Appears: A full page with a padlock and a Go to Home button

Why it happens
Your company turned the module off. The page starts with the module name and continues: This module has been turned off for your company. Contact your administrator to enable it.
How to fix it

Select Go to Home. Ask your administrator to turn the module on.

Your session has expired. Please login again.

Appears: Any page

Why it happens
Your sign-in ended, or an administrator deactivated your account.
How to fix it

Sign in again. See Sign in.
