- 1The four summary cards.
- 2Recent Activity: your five newest expenses.
The four cards
Every card shows only your own items. While a card loads, you see a grey bar instead of the number.
| Card | Count | Line underneath |
|---|---|---|
| My Pending Expenses | Your expenses that are waiting for approval. | The total amount submitted, then, if you have drafts, " · 1 draft" or " · 2 drafts". Example: "₦150,000.00 submitted · 2 drafts". |
| Approved (Awaiting Reimbursement) | Your approved claims that Finance has not paid yet. Only claims count, not other expense types. | The total amount you asked for on those claims. |
| Outstanding Advances | Your advances that are paid out and not fully cleared (including overdue ones). | The total still outstanding. |
| This Month's Expenses | Every expense you created this calendar month, whatever its status. Drafts and rejected expenses are included. | The total amount submitted. |
Example. You have two claims waiting for approval worth ₦45,000.00 and ₦105,000.00, and two drafts. The first card reads 2, with "₦150,000.00 submitted · 2 drafts".
Amounts use the naira sign and two decimals.
Recent Activity
The list shows your five newest expenses, newest first. Each row has:
- The expense title.
- The expense number and how long ago you created it, for example "3 days ago".
- A status badge. It shows the raw code, for example DRAFT, PENDING_APPROVAL, APPROVED, REJECTED or PROCESSED. PROCESSED means paid.
- The total amount submitted.
The rows are plain text. Selecting a row does nothing. To open an expense, go to My Expenses.
When you have no expenses, you see No expenses yet. and the link "Create your first expense".
On wide screens the module also has a menu bar at the top with Quick View, Configuration, Operations and Reports. On narrower screens use the left menu.
Ledger impact
Ledger impact: Viewing the Overview
Does not post to the ledger.
This screen only reads data. It does not create or change any document and posts nothing to the ledger.
Who can do this
Every Expense screen needs permissions that today only the Owner standard role holds. See Roles and permissions. This screen reads your expenses (expense:expenses-my-expenses:read) and the company's advances (expense:advances:read). If you lack one of them, the matching card shows 0 and nothing tells you why.
