Audit Report

Lists who created, changed or deleted Expense records and when, for a date range, user, record type or action.

What it shows

The Audit Report lists the actions people took on Expense records in your company: when, who, what kind of action and which type of record. Newest entries come first. It covers Expense activity only.

When to use it

  • An auditor asks who created, changed or deleted an expense, a category or a policy.
  • You want to see everything one person did in the Expense module in a date range.
  • You want to check when a policy was last updated.

Open the report

In the menu choose Expense, then Reports, then Audit Report. The page heading is Audit Report. Choose your filters and choose Generate. No filter is required.

Filters

One card, Filters. Choosing "All" or leaving a filter empty both mean no restriction.

Placeholder "All actions". Approvals, rejections and cancellations are saved as Update, so they are not separate choices.

The Quick Range dropdown (placeholder "Select a range") also appears above the dates. It fills Date From and Date To for you. Its options are: Today, Yesterday, Last 7 Days, Last 30 Days, Last 90 Days, This Week, Last Week, This Month, Last Month, Last 12 Months, This Quarter, Last Quarter, This Year, Last Year and Custom Range. It shows Custom Range after you edit a date by hand.

Columns

Choose which to show with Columns. Date, User and Action are always shown.

There are no totals, no grouping and no paging. Click a heading to sort in your browser. The record count shows below the table. With no match you see "No data returned for the selected parameters." and "0 records". If generating fails you see the message "Failed to generate report."

Chinedu Okoro changed an expense policy at 9:12 AM on 6 October 2026, and Amaka Nwosu changed one at 4:40 PM on 2 October. The footer reads "2 records". Dates read day first: 6/10/2026 is 06 Oct 2026. The report tells you who and when, but not which field changed.

Export and print

All five Expense reports share the same toolbar. Choose Generate first. Until you do, Email, Print and the download options only show the message "Generate a report first" (the CSV and Excel options say "No data to export").

ButtonWhat it does
ColumnsOpens a list of every column. Tick the ones you want. Columns marked "(required)" cannot be unticked.
GenerateRuns the report.
EmailOpens the Email Audit Report box. Type an address in Recipient email and choose Send. The report goes as a PDF attachment. You see "Report sent to" the address, or "Failed to send report".
PrintOpens the report in a preview window and saves a landscape PDF. Winlium does not use the browser print box.
DownloadOpens a menu: This page (CSV), This page (Excel .xlsx) and This page (PDF). The PDF is the same as Print.
ResetClears every filter, hides the results and restores the default columns.

CSV and Excel files contain only the columns you ticked, plus a totals row where the report has totals. Files are named after the report and the date, for example audit-report-2026-10-06.csv. Column headings in CSV and Excel come from the field names behind each column, so they can differ from the headings on screen. The headings in a CSV or Excel file are Created At, User Name and Entity Name where the screen says Date, User and Record Type.

After you choose Generate, the report starts with a header block: the company name in capitals, the report title, Report ID, Date, Prepared By and Period. The Report ID looks like RPT-EXP-482. Winlium builds it from the clock when you generate, so it is not a stored number and two reports can show the same one. If no company name is loaded, the header shows the text SPLENDIDCOMM TECH LIMITED. Period shows the dates you chose, or "All dates". The filters you chose other than dates are not printed in the header.

Good to know

  • Record Type shows the internal name here but the friendly name in the filter. Action shows capitals here and normal case in the filter.
  • Unlike the other Expense reports, Date To includes the whole end day here.
  • The date format here (6/10/2026, 2:30 PM) differs from dd MMM yyyy HH:mm in the other four reports.
  • With no dates chosen, every entry for the company comes back at once. That can be a very large list. Choose a date range.
  • The User list shows only people who have acted in the Expense module. If you cannot read it, the dropdown is empty with no message.
  • Entries for Public Expense Submissions are also recorded and show only when Record Type is "All".

Who can see it

Custom role with Audit Trails: Report: Create and Report Users: Read

Needs the permission audit-trails:report:create. The report needs audit-trails:report:create, and the User dropdown needs audit-trails:report-users:read. These permissions belong to the audit trail, not to Expense, so a role that holds only Expense permissions cannot open it. Today only the Owner standard role holds Expense permissions, so everyone else needs a custom role. See Roles and permissions.
